Master the Exhibitor Manual
Yes, the exhibitor manual is long. But it is also your roadmap.
Start with the table of contents, typically found on page two. Most manuals are linked digitally, making navigation simple.
Review the show information page first. This section typically includes:
- Key deadline dates
- Move-in and move-out dates and times
- Shipping instructions
- Advance warehouse information
- Materials included in your booth package
Understanding what is already included in your space prevents duplicate orders and unexpected expenses.
Plan Your Booth Strategically
Once you understand the basics, you can begin planning intentionally.
Ask yourself:
- Do you need different tables or additional seating
- Would stools work better than chairs
- Is carpet required if the hall is not carpeted
- Do you need electrical for monitors, laptops, or charging stations
- Is internet required for demonstrations
Every item ordered should support your sales objectives.

Think Through Shipping Early
Shipping decisions impact timing, cost, and setup efficiency.
Will you ship to the advance warehouse or directly to the show site?
If shipping to show site, confirm that your materials will arrive within your assigned move-in window. Ensure your team has adequate time to receive freight and complete installation.
And do not forget outbound shipping.
Will a carrier check in on-site?
Will you use FedEx or UPS?
Is your Bill of Lading prepared in advance?
Having a clear outbound plan eliminates confusion at the end of the show when your team is ready to head home.
